Four file management misconceptions to watch out for

The threats and company repercussions of a bad storage space routine are very real. These include: charges for non-compliance with record keeping requirements; improved chance of lawsuits and expensive finding processes; ineffective company procedures and extreme storage space expenses.

So, if any of these misconceptions are directing your company's guidelines for papers and information storage space, it’s time to put them to relax and upgrade your information storage space plans now!

1.        Retention plans only implement to document information.
Fact: A history is a history, regardless of method or structure. Information and digital records are all possibly information, and need to be maintained whenever they provide proof of dealings.

2.        We have to keep everything for 7 decades.
Fact: The mandated or suggested storage space times are different for different kinds of information. In some cases, that may be less than seven decades, and in others it may be more. Talking to the appropriate regulation and market requirements is the best way to implement precise, record-specific storage space times.

3.        We have to keep everything permanently.
Fact: As with belief 2, the correct storage space interval differs between different history kinds. Another key reality is that keeping information permanently not only contributes a pressure to your storage space specifications, it reveals you to lawful threat. If a history is found during a lawful finding process, it is still qualified to be used as proof, even if it was maintained past the required interval. In other words from the Miranda rights: any information you maintain can and will be used against you in a court of law!

4.        Old information = archival information.
Fact: Not all “old” information is worth archival position, which is generally used to secure and secure traditionally important information for years to come. The key is to clearly set up which information are worth archival position, and otherwise take up space and have unwanted expenses.

Having the right storage space routine is not about getting a silver celebrity for information control (though many of us are entitled to that!). The right storage space plans help to secure the privileges of an company, allow its effective function, and secure it from various types of threat. So let us all do our part for the greater RM good and put those misconceptions to relax whenever they plants up!
